When the recipient of a message deletes the message the message is not really removed from the system but just marked as deleted for this recipient (please note a message is stored only once in the system). When the sender of a message deletes that sent message it is also not deleted but only marked as deleted for the sender.
Received messages that were deleted by the recipient will automatically be member of the Deleted folder. Sent messages deleted by the sender will remain in the sent folder.
Messages that were deleted by the sender and all recipients are called fully deleted messages.
The Application Server allows to purge fully deleted messages i.e. remove those messages permanently from the system.
The application server provides two possibility to purge messages. Each user can initiate purging of the messages he sent. This will automatically purge all fully deleted messages where the user is sender.
Users with the system permission Purge fully deleted messages (5) can purge all fully deleted messages stored on the Application Server.
